Specializing in cross-border supply chain services, this client facilitates the procurement and heavy-freight transport of goods purchased within China’s major industrial hubs (the Yangtze River Delta and Pearl River Delta) directly to destination markets across Central Asia.

Client Challenges

Despite utilizing a high-tier legacy ERP system (NetSuite), the client suffered from severely bottlenecked full-chain efficiency. The system was fundamentally restricted by three disconnected data silos, creating major visibility gaps:

• Separation of Cargo and Funds: The legacy system was capable of tracking service fees and financial data, but it lacked any native framework to track physical cargo locations.

• The Excel Spreadsheet Bottleneck: Because the legacy system only allowed a single Excel attachment per sales order, it could not handle the logistical realities of multi-modal shipping. Logistics teams were forced to manage vehicles, routes, and split-shipment data manually via complex Excel spreadsheets.

• Complex Port Reloading & Dynamic Pricing: Cargo transported from China’s coastal hubs must undergo extensive unloading, sorting, and reloading at border ports before moving into Central Asia. Without a flexible system, tracking split shipments, transfers, and specific parcel states was impossible.

• Chaotic Account Reconciliation: Because weight, volume, and logistics data lived separately from the billing platform, calculating exact service fees and dynamic freight costs was an administrative nightmare. Lost parcels, misdeliveries, and delayed customer updates became recurring operational issues.

1. Real-Time Cargo & Fee Synchronization

We bridged the gap between financial cost accounting and physical freight location by tying service fees directly to live shipment data within the same Odoo order:

• Automated Freight Allocation: Odoo automatically tracks the gross weight, net weight, and total volume of each shipment line.

• Proportional Costing: The system automatically calculates and allocates freight service fees proportionally based on volume or weight metrics, letting management view exact, real-time profit margins per transit line.

2. Full-Circulation Barcode Scanning & Smart Warehousing

We eliminated error-prone manual Excel logging by deploying Odoo’s native Barcode and Inventory modules:

• Instant Status Updates: Warehouse operators now use mobile barcode scanners at border ports to instantly verify receiving, shelving, and outbound transfers.

• End-to-End Asset Visibility: Scanning a parcel automatically updates its status in the central ERP, neutralizing the risk of lost parcels or misdeliveries during port transfers.

3. Multi-Scenario Status Tracking & Split Shipments

Cross-border logistics requires managing fluid, real-time cargo changes. Odoo’s flexible architecture allows a single sales order to be split dynamically across multiple transit vehicles, custom clearances, and ocean/land freight documents, preserving data integrity across the entire journey.

4. Open-Source Customization Roadmap

Leveraging Odoo’s highly customizable framework, Boyang laid out a multi-phase digital transformation roadmap. Future integrations currently in development include:

• Customer-Facing Mini-Program: A lightweight portal allowing end customers to query real-time parcel tracking and logistics status.

• Mobile Driver Terminal: A dedicated applet empowering field drivers to accept orders, upload proofs of delivery (POD), and sync coordinates directly back to the core system.
